| Program DevelopmentProgramming Checklist Audience: Consider your audience. Will people attend? Is this program inclusive and not offensive? Budget: Create a budget. Make sure there is enough money for all expenses. Consider if you need a fundraiser to make this event happen. Approval: Confirm approval with your advisor. Facilities: All facilities on campus are booked through Corie Matijevic at x4604. Register: Pick fill out a Campus Activity Form Remember all events must receive final approval from the Office of Campus Activities at least 2 weeks prior to the event. Equipment: Physical Plant Office-2nd floor of the Physical Plant (x5377). You can order tables, chairs, stages (must give size of stage needed), trashcans and electric hookups through the Physical Plant. Media Center -1st floor of the Academic Center (x5280). You can order microphones, sound systems, televisions, VCRs, and overhead projectors through the Media Center. Transportation: Public Safety, (x5257). Mount St. Mary’s vans can be reserved by student organizations. Vans must have a driver that is certified to drive by the Office of Public Safety. Food: Dining Services-main level of McGowan (x5276). Before heading to Dining Services make sure you have the approximate number of people that will be attending, menu ideas, if you need paper cups, napkins, utensils, etc. Contracts: If your event requires a contract (DJ, band, lecturer, etc.), it must be signed by your advisor. This is in place to protect you, so you do not have any unforeseen liability placed on you as a student. Publicity: This is one of the most important components of a successful program. Publicize early and use many different mediums. Think of things that will get people’s attention. Please refer to the Campus Wide Posting Policies included in this packet. Help: Make sure you have adequate help to plan and carry out your event. Don’t forget about cleanup. Delegation is the best way to avoid burnout! Finances: Save receipts and make sure you follow the SGA budget guidelines. Evaluate: After the conclusion of the event, make sure that the event has been evaluated by using the Eval Form, to help the future officers of your organization.
