Administrative Assistant - English and Political Science Department (10-Month Position) Minimum Pay Rate: $10.45/hour Work Schedule: 35/hours a week, 10-Month Position
Essential Position Functions:
1. General Faculty Support
Performs day-to-day office responsibilities to include: word processing (course work, correspondence, reports, scholarship, brochures, booklets, and posters), photocopying, telephone, mail, faxing, book orders (class, office, library), file management, routine correspondence composition, anticipation of upcoming events and organizing accordingly, coordination and scheduling of events (meetings, appointments, lectures, films, etc.), requisitioning supplies and maintenance repair work, travel arrangements, and bulletin board upkeep. Typing comments and tabulating end-of-semester course evaluations. Planning and coordination of Freshman Seminar registration through each Freshman Seminar instructor. 2. Efficient Operation of Department Presents a positive image to the Mount community, alumni, and public while overseeing the efficient operation of the department as: receptionist, liaison with other campus offices, and supervisor of work study students and Freshman Seminar and American Experience programs. Marginal Functions:
1. Additional Assignments Prepares and tracks budgets (department and Freshman Seminar); compiles and composes statistics and data for annual departmental, Freshman Seminar and American Experience reports; updates internet pages; provide support for faculty searches; proctors, grades, and/or records exams, tests, and make-ups. 2. Other duties as assigned. Special Knowledge: 1. Knowledge of and experience with Microsoft Office, including word processing (Microsoft Word), spreadsheet (Excel), database management, Internet/E-mail. 2. Ability to operate office equipment (fax and photocopying machines, scanner, shredder, telephone, etc.). 3. Transcriptions from audio tapes. 4. Must be familiar with and adhere to all the safety rules and regulations for the University Safety Policy which apply to the work environment. Minimum Qualifications: 1. Expertise in dealing with a wide variety of personalities; maintain an upbeat and positive attitude. 2. Ability to maintain confidentiality. 3. Excellent oral and written communication skills. 4. Proficiency at managing multiple tasks simultaneously with numerous interruptions. 5. Ability to work independently with little or no supervision. 6. Must be organized, dependable, and able to manage time efficiently, and display initiative. 7. Honesty and punctuality. Position Location: Department faculty office.
