Administrative Assistant - Financial Aid Office (Job Search Status: Currently Accepting Resumes)


Work Schedule:  Full-time, Monday-Friday, 35 hours per week

Minimum Pay Rate:  $10.45/per hour

Essential Position Functions:
Administrative Assistant

Responsible for managing and coordinating the daily operations of the financial aid office. Many of these duties require a general knowledge of various federal regulations and procedures as they pertain to student financial aid. These responsibilities also include serving as the primary receptionist for the office. Coordinates mailings to students and their families as well as mailings to former students whose loan accounts are past due. Performs annual review of work study list to balance Federal allocation. Screens incoming calls; greets students, parents and other office visitors.

Marginal Functions:

  1. Oversees inventory of all office supplies, including basic supplies, bank brochures/information packets, loan applications and other necessary forms.

  2. Other duties as assigned by the Director and Assistant Director of Financial Aid.

Special Knowledge:

  1. Dell computer software (Microsoft Office Word and Excel), POWERFAIDS.

  2. General knowledge of complex and ever-changing Federal regulations as they pertain to Financial Aid.

  3. Must be familiar with and adhere to all the safety rules and regulations for the University Safety Policy which apply to the work environment.

Minimum Qualifications:

  1. A high level of organizational skills and the ability to think clearly while simultaneously handling a multitude of complex situations (phones, walk-in parents and students, etc.) are mandatory.

  2. Discretion and good judgment are extremely necessary while communicating with current and prospective students and their families.

  3. A high degree of professionalism is needed in dealing with outside lenders and their representatives.

  4. Ability to perform at a high level of accuracy and detail in a stressful environment (dealing with people’s finances) required.

  5. Basic computer skills are a must with the understanding that new Federal regulations and computer software programs will necessitate an environment of constant learning and enhancement of these skills.

  6. High School Diploma or equivalent.

Position Location:
Bradley Administration Building – 1st floor.

Equipment Used:
Dell Computer; Laser Printer; adding machine; copier; multi-line phone, fax machine.

Physical Requirements:
Office environment.

Supervision:
Supervises student aides.
