Access and Use of Materials
Any researcher who registers, provides acceptable identification and abides by the policies and rules of the archives will be permitted to use unrestricted materials in the collection. Please note that access to materials may be restricted by condition of gift, by the physical condition of the material, or out of regard for the rights of others.
Researchers are asked to call or email ahead of time to discuss their research topic. This will allow the archivist to pull materials that may be pertinent to the topic and to prepare for the visit. Upon entering the archives, researchers will be required to fill out a researcher registration form and present a photo ID as well as review the rules of the archives.
Circulation and Loan of Materials
Many of the materials in the archives and special collections are unique and rare, and therefore do not circulate. Loans of materials to internal users for display or research are considered on a case-by-case basis. Please see the Policies and Procedures page for more information.
Reproduction and Publication of Materials
Requests for photocopies, photographs, slides and transparencies are considered by the staff on a case-by-case basis, in accordance with the Archives’ photo-duplication policy. The Archives will not reproduce entire collections or large portions of them and reserves the right to refuse to copy items that are fragile or which in any way may be damaged by copying. Copies are provided for patrons' personal research needs and should not be placed in another institution. Items to be copied should not be removed from the folder. Ask for a supply of markers from a staff member.
In citing these materials, please cite the full name of the collection and of the Archives.
Example: The John Doe Collection, Archives and Special Collections, Mount St. Mary’s University, Emmitsburg, Maryland.
It is the responsibility of the researcher to secure permission to publish material in the Archives.
In providing photocopies and other reproductions, Mount St. Mary’s Archives and Special Collections will uphold all applicable copyright laws and regulations, and provide copies for the "fair use" purposes of private study, research, scholarship or inter-institutional exchange.
